Faculty Activity Review

Purpose

Review teaching and research activity for faculty based on a set of common metrics per year or as a rolling 3-year average. See Definitions & Information below for more detail.

ADVISEMENT: The Faculty Activity Review Dashboard is intended to evaluate the productivity of faculty members on the basis of their individual performance. The calculations, aggregation measures, and normalized adjustments use logic that does not make this suitable for unit level analysis or evaluation.

How to: Choose a Focus Point

Select a tab to focus on particular aspects of faculty activity:

  • Combination compares MTDC and SCH
  • Research allows selecting particular measures for each faculty member including awards, proposals, expenditures, and MTDC
  • Instruction is under development and will include more measures soon

Prompts: How to Choose What is Displayed

Use the prompts (dropdown menus) to filter to what you'd like to compare. 

  • Select a Measure using the main dropdown menu (when available)
  • Select Units using the left-hand dropdown menus
  • Select Fiscal Year and limit your population using the right-hand menus
    • The Unit Head menu allows you to remove or select unit heads and directors

Definitions

Faculty Population

The faculty members included in this dashboard are limited to those who were active as of the end date of the last pay period in April, a snapshot we established as a year-end point before there are employee record changes for the end of the Spring semester and year-end processes.  Faculty members hired afterward are not included which coincides with the intent of this dashboard: evaluate the productivity of faculty members as they have performed throughout the fiscal year. 

Terms

  • Normalized figures: "normalization" reflects an adjustment to actual figures in accordance with the allocated effort for that mission area (e.g., SCH adjusted by the FTE for Instruction effort); this is calculated as follows: figure / mission area FTE (e.g., 500 SCH / .70 Instruction Effort = 714 Normalized SCH).
  • Instruction measures:  Student Credit Hours (SCH) for Fall, Spring, Summer, and Winter terms, including all students who completed a class in CALES.
    • This data set should not be used for unit level aggregations, because it is not comprehensive in that manner - it is missing courses that are taught by non-ALVSCE/CALES faculty and courses taught by previous faculty
  • Research measures:  include activity that is attributable to CALES. Activity that benefits non-CALES units is not included.
    • Modified Total Direct Costs (MTDC):  Grant expenses subject to Facilities & Administration (F&A) costs.  F&A is also called Indirect Costs (IDC). Student support, capital expenses, tuition remission, sub-awards above $25K, and participant costs are not charged F&A.  All Object Code exclusions are respected out of Expenditures for MTDC figures.
    • New Proposals: All proposals submitted to a sponsor, and the requested budget, where the PI or co-PI’s are in CALES.
    • Awards:  Aggregating new root awards only (no continuations or allotments) where the PI or co-PI are in CALES. Award dollars are the total anticipated budget from the sponsor.
    • Total Direct and Indirect Expenses:  All expenses made on a grant project. 
  • Mission Full-Time Equivalency (FTE):  Mission FTE (e.g., Instruction FTE, Research FTE) in 2015 and 2016 is based upon faculty member's overall FTE and how they were paid in those years in accordance with the funding from each mission area of Instruction and Research. FTE for 2017 and 2018 is calculated from a combination of how faculty were budgeted and paid (ledger actuals).  Mission FTE for 2019 and after is from the Unit Head's Current Faculty Workload that provides the Mission Effort according to Unit Heads and that is used for calculating Mission FTE in this dashboard. 
  • Salary
    • Timing of Salary Snapshot: End date of the last pay period in April
    • Base (Default): Annual Compensation Rate scaled to 1.0 FTE, excluding stipends and other components of pay. 
    • Annual Base Benefits Rate (ABBR): ABBR can be thought of as actual gross pay and is calculated as follows: (Annual Salary + Stipends and Other Components of Pay) * Total FTE. 
  • Fiscal Year (FY): Spans 7/1 of one calendar year thru 6/30 of the next calendar year (e.g., FY18 is 7/1/2017 thru 6/30/2018).  Anywhere “Year” is used, it means the Fiscal Year.

Latest 3-Year Normalized Averages

The Latest 3-Year Normalized Average is calculated by averaging the normalized MTDC/SCH values in each of the 3 years. 

  • Zeros in Averages
    • If a faculty member did not have MTDC (meaning $0 for MTDC) and did have the FTE effort for research (meaning >0 for Research FTE), the $0 MTDC will be included in the average calculation.
    • For example, if a faculty has the following research FTE and actual MTDC amount over a period of three years:
      • 1st year: Actual MTDC = $50,000 and Research FTE = 0.4 with the Normalized MTDC = $50,000/0.3 = $125,000
      • 2nd year: Actual MTDC = $0 and Research FTE = 0.4 with the Normalized MTDC = $0/0.4 = $0
      • 3rd year: Actual MTDC = $110,000 and Research FTE = 0.65 with the Normalized MTDC = $110,000/0.65 = $169,231
      • Thus, the 3-Year Normalized MTDC Average is ($125,000 + $0 + $169,231) / 3 = $98,077
    • The 3-Year Normalized SCH Average is calculated similarly.
  • Exclusions from Averages
    • If a faculty member did not have MTDC (meaning $0 for MTDC) and did not have the FTE effort for research (meaning 0 for Research FTE), the $0 MTDC will be excluded from the average calculation.
    • For example, if a faculty has the following Research FTE and actual MTDC amount over a period of three years:
      • 1st year: Actual MTDC = $50,000 and Research FTE = 0.4 with the Normalized MTDC = $50,000/0.3 = $125,000
      • 2nd year: Actual MTDC = $0 and Research FTE = 0 (Note: since there is no Research FTE and no MTDC amount in the 2nd year, the Normalized MTDC does not need to be calculated.)
      • 3rd year: Actual MTDC = $110,000 and Research FTE = 0.65 with the Normalized MTDC = $110,000/0.65 = $169,231
      • Thus, the 3-Year Normalized MTDC Average is ($125,000 + $169,231) / 2 = $147,116
    • The 3-Year Normalized SCH Average is calculated similarly.
  • Non-Normalized Figures in Averages
    • If a faculty member did have MTDC (meaning >$0 for MTDC) but did not have Mission FTE / Effort for Research (meaning 0 Research FTE), the MTDC amount will not be normalized since there is no FTE value to normalize it.
    • For example, if a faculty has the following research FTE and actual MTDC amount over a period of three years:
      • 1st year: Actual MTDC = $50,000 and Research FTE = 0.4 with the Normalized MTDC = $50,000/0.3 = $125,000
      • 2nd year: Actual MTDC = $60,000 and Research FTE = 0 Note: since there is no Research FTE, the actual MTDC amount will be used when calculating the average.
      • 3rd year: Actual MTDC = $110,000 and Research FTE = 0.65 with the Normalized MTDC = $110,000/0.65 = $169,231
      • Thus, the 3-Year Normalized MTDC Average is ($125,000 + $60,000 + $169,231) / 3 = $118,077
    • The 3-Year Normalized SCH Average is calculated similarly.

2019.03.19 - Changed the display of 0 Res FTE and 0 Ins FTE data points in the Combination graph to no longer sit below the axes; instead, they are displayed as their actual values (e.g., 0, on the axes).

2019.02.06 - Salary changed from ABBR to Annual Comp Rate; definitions updated accordingly.

2019.01.22 - 2018 data released on all metrics, and SCH data updated for 2015-2018 to include cross-listed course activity for all faculty active May 1, 2018.

2019.02.06 - New download options were created to allow downloading the MTDC & SCH data and/or data for all metrics.
